What’s the job?

Responsible for compliance controls of U.S. defined contribution plans (401k), as well as the Canadian RRSP/DPSP plans. This includes writing queries and performing internal audits and data analysis to ensure government and plan compliance as well as TPA data integrity for 18,000+ active accounts.  Monitor and adjust for IRS limit regulations—especially §402(g), §401(a)17, & §415(c).  Principal contact for 401(k) compliance and audit questions and issues from participants, Human Resource, and Payroll personnel.  Perform and process any payroll adjustments needed to ensure adherence to plan provisions and government regulations.  Compile data file and manage the annual Non-Discrimination Testing process with 401k plan vendor.  Responsible for evaluating 401(k) TPA service performance levels for administration and project implementation against established benchmarks and determine if any fees ought to be at risk.

Responsible for monthly reconciliation of 401k plan funding to ensure compliance with regulatory compliance.  Responsible to ensure regulatory communications are completed with third-party vendor.  Principal contact for outside auditor questions regarding 401(k) plan compliance and audits. 

Support Defined Contribution Manager with special projects such as amalgamations, acquisitions, divestitures, labor renegotiations and vendor changes in both US and Canada.

Responsible for day-to-day compliance administration of all U.S. and Canadian defined contribution plans.  Responsible for managing Company exposure to cross-year corrections through audits, such as analyzing suspension processing, employee transfers, contribution changes, to identify and correct errors in year made. Requires problem solving and interpretation of government regulations and plan documents. 

Responsible for system audits to ensure IRS/plan compliance, including but not limited to IRC regulations (§402(g), §401(a)17, §415(c) & 414(v)); all Company match contributions have corresponding employee contributions, match calculation across multiple benefit plans correctly capped. Impacted participants must be identified; correction method determined; necessary adjustments calculated and audited; and affected parties notified. 

Ensure completion and filing of all 401(k) 5500 government filings and Summary Annual Reports. Principal contact with auditors and accounting for D.C. plan audits. Responsible for ADP/ACP discrimination testing performed by TPA and for implementing corrective action where necessary. Complete and file T-10 forms for Canadian Pension Adjustment Reversals when necessary.

Responsible for monitoring lost participant processes, ensuring all participants with balances are known. Coordinate with accounts-payable and third-party vendors, as needed, to pay plan administration invoices. Tracking third party vendor service levels and assist in determining if fees are at risk based on agreements in place.

Responsible for monthly reconciliation of 401(k) plan contributions, including comparing weekly fund transfers to recordkeeper records. Responsible for quarterly reconciliation of Non-Qualified Deferred Compensation reports from recordkeeper, providing reports to appropriate controller as appropriate. Responsible for reviewing 401(k) loan delinquency reports, analyzing data, and correction of delinquent 401(k) plan loans to conform to plan specifications and IRS & DOL regulations.


Required Qualifications

What do you bring?

  • Bachelor’s Degree in Business/Finance is required
  • 5+ years of Retirement Plan Administration experience, knowledge of ERISA, DOL regulations, etc., required
  • Extensive knowledge of ERISA and defined contribution regulations in U.S. and Canada required
  • Experience with Microsoft Office applications, specifically Excel and Word required
  • Sophisticated computer skills with ability to write and run SQL queries required
  • CEBS or ASPPA certification (or willingness to work towards)
